This policy explains how FixMate handles information used by your workshop workspace.
01Information handled
FixMate handles what its features need: your account and subscription details, and the customer, ticket, identity, device photo, inventory, supplier, expense, staff and sales records you enter. Most of this is information about your customers rather than about you — you decide what goes in, and you remain responsible for it. Enter only what your business actually needs.
02How it is stored
Workspace records are encrypted before they are written to the FixMate server, using a key stored outside the web folder so that a copy of the database alone cannot be read. Passwords are stored only as bcrypt hashes and are never recoverable, by us or by anyone else. FixMate Web defaults new browser profiles to Shared Device mode, which keeps records in memory for that tab only; Private Device mode keeps an unencrypted offline copy in that browser profile until you clear it or switch back.
03Sign-in and security records
To protect accounts, FixMate records sign-in attempts and security events, including the time, the IP address, the browser or device description, and the email address involved. These are visible to a FixMate administrator and are deleted automatically after a retention period. They exist to spot break-in attempts and to explain to you what happened to an account, not to profile anybody.
04Links you send to customers
When you send a customer an estimate, a payment link or a live status link, the details on that ticket — the customer's name, the device, the amounts and the status — are placed on a private web page that anyone holding the link can open. Links expire, can be disabled by you at any time, and may ask for the last digits of the customer's phone number before showing anything. What the supplier charged you is never included. Send these links only to the customer they belong to.
05Backups and exports
Backups exported from FixMate Web are encrypted with a password you choose, and FixMate cannot recover that password. Backups exported from the iOS app are written as plain, unencrypted files so that you can inspect and restore them yourself — store those somewhere private, because they contain everything in your workspace. The FixMate server also keeps its own encrypted backups for a limited period so that a workspace can be recovered after a failure.
06Email we send you
FixMate sends the email its features need: address verification, password resets, and confirmation that your workshop has been activated. We may also email registered workshops occasionally about the service itself — new features or something you need to know. Reply to any of these to ask us to stop sending the second kind. Service email, such as a password reset, cannot be switched off while your account is open.
07Who at FixMate can see what
A FixMate administrator can see your account details — shop name, email, plan, when you signed up, how much space your workspace uses — and can activate, suspend or delete an account and issue a replacement password. Your workspace records themselves are stored encrypted and are not browsed as part of running the service. Email you send to our support address is read by an administrator in order to answer you.
08Third-party services
Hosting is provided by Hostinger, and email is delivered through their mail servers. The iOS and macOS app can sync through Apple iCloud and uses Apple's StoreKit for subscriptions, both under Apple's own terms. Payment links open your customer's own payment app. FixMate does not sell your business data and does not use it for advertising or cross-app tracking.
09Your choices and responsibility
You control what is entered, who has access, which staff logins exist and what each may reach, which customer links are open, your browser device mode, and your exported backups. You can correct or delete records in your workspace at any time, and can ask us to delete your account and its data by writing to support. Where your customers have rights over their own information under the law that applies to you, meeting them is your responsibility as the business holding that relationship.
